Mission
Under the supervision of the VP, Wealth Management, the Administrative and Financial Controller is responsible for planning, organizing, and coordinating all accounting and financial activities of the Family Office. The role ensures the accuracy of financial statements, effective budget management, and the optimization of processes through the implementation of technological solutions that support the overall strategy. This position safeguards the integrity of financial data through strong internal controls and clear communication of roles and responsibilities within the team.
Assigned Responsibilities
- Lead the preparation of monthly and/or quarterly financial statements, including consolidation.
- Oversee general and transactional accounting (accounts payable, accounts receivable, cash receipts).
- Ensure proactive cash management and monitoring of financial flows.
- Prepare, analyze, and review annual and periodic budgets in collaboration with stakeholders, and monitor variances.
- Supervise and execute sales tax filings (GST/QST), tax instalments, and the management of taxable benefits, ensuring compliance with fiscal requirements.
- Lead the implementation and updating of accounting systems and technological tools.
- Identify and implement continuous improvements to accounting processes to increase efficiency and reduce risk.
- Develop and maintain internal controls to ensure the integrity of financial data.
- Monitor government audits and ensure compliance with regulatory obligations.
- Define and communicate team roles, responsibilities, and work methods.
- Promote cross‑department collaboration to ensure smooth financial operations.
- Establish performance indicators and ensure regular monitoring of financial results.
- Produce concise reports for senior management and stakeholders.
- Supervise concierge services related to the Family Office, ensuring service quality and confidentiality.
Your profile
Requirements
- Accounting expertise: University degree in accounting, CPA designation, and a minimum of 10 years of experience, including process‑optimization and technology‑implementation projects.
- Knowledge of trusts and the accounting standards applicable to this type of industry.
- Leadership: Ability to mobilize, collaborate with, and develop a team toward excellence.
- Initiative and continuous improvement: Proactive approach to optimizing processes.
- Rigor and accuracy: Reliability of financial information and adherence to deadlines.
- Stress management: Ability to work under pressure and meet timelines.
- Technical skills: Advanced proficiency in Excel and experience with accounting ERP systems.
- Bilingualism required: Proficiency in English is necessary due to the nature of interactions with predominantly English‑speaking partners across Canada. English is frequently used in written and verbal communications. An advanced level is required.
